PAYROLL Pro Payday Super — Workflow Quick Reference Guide

This is a quick reference guide for the new workflow changes to meet 2026 Payday Super changes in the Payroll & A/P Payments module.

Part A — One-Time Setup (Complete before your first pay run on or after 1 July 2026)

If you are required to do multiple export formats to various Clearing houses skip step A1.

If you are not using a creditor to pay your Superannuation obligations skip Step A2.

Set Payday Super  Parameters SYS02

System Administration → System Parameters → search "PAY: PAYDAY SUPER CLEARING HOUSE" → set to your clearing house format (e.g. QuickSuper)

search "PAY: PAYMENT SUMMARY COMAPNY NAME (1, 2 &3)" → set to your Company Name registered with you Clearing House If different to the Company Name in general parameters

Add Creditor Code to Each Super Scheme PYM09

Payroll & HR → Payroll Reference Maintenance → Superannuation Schemes → Modify each scheme → confirm Rate = 12.00% → enter the A/P Creditor code in the Creditor field → Commit

Note: Spin numbers are being phased out & replaced by USi numbers.

Verify Employee Super Details PYM01

Payroll & HR → Payroll Reference Maintenance → Employees → confirm Super Scheme, Super Policy and Super GL A/C for every employee

 

Part B — Every Pay Run (After payslips are processed)

Run payslips as normal (Auto or Manual) first. The workflow below picks up from Payslips UPDATE.

PHASE 1 — PAYSLIPS UPDATE & SUBMISSIONS

Run Payslips UPDATE PY011

Set Submit Single Touch = Yes and Export Superannuation = Yes (Report options Tab) → click Update

Save the Payslips UPDATE PDF & AP Invoice Update PDF

When the PDF generates on screen → save to your records folder

Confirm STP Submission

MessageXchange popup will appear → confirm "Successfully sent. Response Status = 200 OK" → click OK

Save the Super Export CSV

Save As dialog appears → name the file (e.g. Super_Payment_26052026) → save to your super exports folder

Generate EFT File & Pay Employees PY012

Generate the ABA file for employee wages as normal → upload to bank

 

Steps 2, 3 and 4 happen automatically in sequence when you run PY011 — you do not need to navigate anywhere. Just respond to each prompt as it appears.

PHASE 2 — SUBMIT TO CLEARING HOUSE (same day as wages)

Log in to clearing house portal (e.g. QuickSuper)

Upload the super export CSV file saved in Step B4

Submit the super payment

Submit simultaneously with the file upload — Confirm both the file and payment are matched before logging out if possible.

 

⚠️ Critical: Super must be paid on the same day as wages (or next business day) from 1 July 2026. Submitting the file without the payment — or vice versa — may cause delay in the processing of the Superannuation to employee funds.

PHASE 3 — PROCESS A/P SUPER PAYMENT (if super funds are linked to a creditor code)

When paying via PayID, the creditor's payment method must be set to Direct Debit (D/Deb). ABA files are not compatible with PayID.

Select the Super Creditor & Enter Payment APP02

A/P Payments → Creditor Payment Maintenance → select your super creditor → enter full Amount in the Payment field → Commit → Esc

Review Creditor Payment Listing APP03

A/P Payments → Creditor Payment Listing → select Detail Recon → select creditor → View → confirm figures before proceeding

Print Creditor Remittance (if required) APP06

A/P Payments → Creditor Remittance Print → set From/To Creditor to your super fund code → View or Print

Update the Payment APP07

A/P Payments → Creditor Payment UPDATE → set From/To Creditor → View to preview → confirm all details correct → Update

Generate EFT or BPAY File APP12 / APP19

EFT: A/P Payments → Generate EFT File → enter batch from APP07 → confirm EFT Date → Commit → Save file to banking folder.       BPAY: use APP19 — same process

Verify the Batch APP13 / APP21

EFT: A/P Payments → EFT Listing → select batch → confirm Batch Total matches APP07

BPAY: use APP21 — same process

Pay Run Completion Checklist

Before closing off the pay run, confirm all of the following:

  • Payslips UPDATE (PY011) run with Submit Single Touch = Yes and Export Superannuation = Yes (applicable if you set the parameter in A1)
  • Payslips UPDATE PDF saved
  • MessageXchange STP confirmation "200 OK" received
  • Super export CSV file saved (applicable if Parameter A1 was set)
  • Employee wages EFT file generated and uploaded to bank (PY012)
  • Super CSV uploaded to clearing house portal
  • Super payment submitted to clearing house on same day as wages
  • A/P super payment processed and updated (APP02 → APP07) — if applicable
  • EFT/BPAY file generated and uploaded to bank (APP12 or APP19) — if applicable
  • Batch verified (APP13 or APP21) — if applicable
